Strata Contract Assurance
Check what you are billed against what you agreed, before you pay.
Paying on time gets measured. Paying the right amount doesn’t.
Every organisation carries two duties that pull against each other: to pay suppliers on time, and to pay them only what the contract says. Paying on time gets measured. Paying the right amount doesn’t. In reality, paying on time wins because it’s the easiest to measure.
Invoices that contradict the agreed schedule of rates, repairs charged at out-of-hours rates when they shouldn’t have been, annual price increases applied despite the contract saying fixed price, volume discounts never triggered because deliveries were split across sites, year-end rebates never claimed, and many other mischarges slip through the net.
Across tens of thousands of invoices, this can add up to 3% or more of annual spend.
Until now, these contract slippages have been impossible to find before the spend happens.
Strata Contract Assurance catches overcharges before the payment leaves your account and sits on top of your existing accounts payable processes, whatever system runs them. Dispute packs and pay less notices are auto-generated for your AP team to send out, all the while ensuring clean and compliant invoices are paid rapidly. Every decision is recorded, so when your auditor or your board asks why an invoice was paid or held, the answer is already written.
From contract to checked invoice
Read the contract
Master agreements, schedules of rates, variations. AI reads each document and proposes the rules inside it: rates, what is in scope, what is included in a price, and the terms that apply.
Confirm the rules
Your contract or procurement lead reviews the proposed rules and confirms them. Confirmed rules are frozen, with a record of who confirmed them and when.
Keep them current
When a contract is varied, only the parts that changed are read again and brought back for confirmation. Everything else stays as it was confirmed.
Check every invoice
Each invoice is read and checked against the confirmed rules for the contract it falls under. Anything that does not match is raised for your team with the rule it broke.
The same answer every time
AI does the reading: it extracts the rules from the contract and the details from each invoice. The check of an invoice against the confirmed rules makes no call to an AI model. The same invoice against the same rules gives the same answer, today or in three years' time, and any decision can be replayed to show exactly how it was reached.
That is the difference between a flag your team can act on and one they have to argue about.
Fits around the systems you run
Strata connects to your finance and purchasing systems through the data exports and APIs they already provide. Nothing is migrated, and your teams keep working in the systems they know. It runs in a dedicated tenancy inside your own Microsoft Azure subscription.
Where it matters most
- Repairs and maintenance. Call-out rates, schedules of rates and what is included in a visit, across hundreds of jobs a week.
- Facilities and services. Long contracts with price reviews, where the agreed uplift and the billed uplift drift apart.
- Professional services and IT. Day rates, caps and scope, where the contract sits with one team and the invoices go to another.
